PBT Connect Family Privacy Notice

1. The parent-managed service

This notice describes the planned parent-supervised under-18 PBT Connect service. Under-18 lessons are not yet open. Availability of a privacy page or preparation screen does not mean a child can book or join a lesson.

PBT Connect is operated by PBT FIT Pty Ltd (ABN 57 644 717 108), 3 Danks Street, Waterloo NSW 2017, Australia. PBT controls the platform information described here. This notice supplements our general Privacy Policy, including its representative, recipient, transfer and rights information.

The adult account holder manages the child profile, contact, bookings and payments. A child profile does not create a child login or private teacher-child messaging. The parent or guardian must approve each lesson and remain present and supervising for the whole lesson.

2. Information about parents and children

The child profile uses a first or preferred name, age in years and the country or region where the lesson will take place. Do not enter a surname, date of birth, identity document, school or other unnecessary identifying information. If an existing PBT member is linked, that separate member record remains subject to its own purposes and retention.

Parent information includes account and contact details, verified email and mobile status, adult-verification references and results, and security and delivery information. We record each child consent or withdrawal, document versions, lesson approvals and associated receipts and audit history.

During a live lesson the teacher and participants can see and hear each other. Technical account, room, device, network and connection-quality information is processed to deliver and protect the lesson. We may also process information supplied in a safety or support report.

3. Adult and phone verification

Kids Web Services (KWS), an Epic Games service, supports the adult check. PBT supplies the parent contact and country information needed to arrange it and receives the verification result and supporting method or security references. Adult verification confirms an age requirement; it does not establish that an adult is the particular child's guardian.

The verification provider explains its available methods and its own handling of information when you use its service. Identity material supplied directly to that provider is different from the result and references stored in PBT's verification record. PBT does not store raw identity documents or biometric material in that verification record.

Twilio supports parent mobile verification and, when enabled and chosen, lesson reminders. Verification and security messages are separate from optional reminder or marketing choices. Missing required verification or consent can prevent a child lesson from proceeding.

4. Who receives information and where

The selected teacher receives the child and lesson information needed to teach and supervise the booked lesson, including the child's first or preferred name and age. Private child profiles are not public listings. PBT staff access information where needed for service administration, privacy requests, safety, payment or disputes.

Providers include KWS for adult checks, Twilio for phone services, Stripe for payments, Tencent Cloud for video, and our hosting and database providers. Our infrastructure includes the United States, the adult-verification service involves the United Kingdom, and PBT Connect video uses our Singapore Tencent Cloud account. The teacher may be in another country. The general Privacy Policy explains recipients and overseas processing in more detail.

Child-profile and lesson information is not used to market to a child. Teachers must not use it for unrelated marketing or private contact with the child.

5. Purposes, consent and live lessons

We use the information to arrange requested lessons, verify the adult account and contact, record the parent's authority and choices, apply the lesson safeguards, deliver the video connection and handle support, safety, payment and disputes. The general policy explains contract, legitimate interests, consent and applicable legal obligations; an additional condition is needed where sensitive information is processed.

Each child has a separate consent record. Approval for one lesson is bound to the selected child, teacher and lesson; it is not blanket approval for every future lesson. Read the current documents and confirmations shown during setup and approval.

PBT does not record PBT Connect lessons. Our rules prohibit recording, screenshots, transcription or sharing of under-18 lessons. We cannot guarantee that a participant's device cannot make a recording. Report a concern promptly. PBT staff do not routinely watch live lessons; supervision remains with the parent and teacher.

6. Withdrawal, requests and retention

A parent can withdraw consent through the Family safety area when the service is available, or contact PBT. Withdrawal blocks new child lessons and new room entry. Ending current access and reviewing stored information are separate steps; contact us immediately about an active lesson or safety concern.

Withdrawal is not a request to erase payment or incident evidence automatically. We review what can be removed and what still needs to be retained for safety, payment, disputes, legal obligations or evidence of consent. Child-profile details, verification records and booking or consent evidence have different purposes and retention criteria. Backups and provider copies also need separate handling.

You or the young person may request access, correction, deletion, restriction or other applicable privacy rights. We may verify identity and authority. Our general policy gives PBT and DataRep contact routes, response information and the right to complain directly to a relevant authority. You do not have to complain to PBT first.

7. For young people

Your parent or guardian sets up the lesson and stays with you. Your teacher needs your first name and age and can see and hear you during the live lesson. Your child profile is private. PBT does not record the lesson, and nobody is allowed to record or take screenshots of an under-18 lesson. Tell your parent or another trusted adult if anything makes you uncomfortable.
